Privacy policy
This policy explains what personal data Westbridge Block Management ("we", "us", "our") collects through this website (the "site"), why we collect it, how long we keep it, and the rights you have over it. Personal data we process when we manage a building (for example leaseholder and service charge records) is covered by the privacy notice we give residents when we take on the building.
1. Who we are
This site is operated by Westbridge Block Management Ltd, the data controller for personal
data processed through the site.
Contact: hello@westbridgeblockmanagement.co.uk
2. What we collect
| Data | From | Why |
|---|---|---|
| Name, email, phone, your role, building name and postcode, number of units, message | The quote request form | Responding to your enquiry, arranging a building review and preparing a management proposal |
| Name, email, phone, flat number, building, description of the issue | The resident issue-reporting form | Logging, investigating and resolving the issue you reported |
| IP address, browser/device info, pages visited | Automatically, via cookies/logs | Keeping the site secure and, only with your consent, understanding how it's used - see the cookies section below |
3. Our lawful basis for processing
- Legitimate interests - responding to enquiries, handling issue reports for buildings we manage, and keeping the site secure.
- Contract - where we manage your building, processing what's needed to deliver that service.
- Legal obligation - for example, health and safety, building safety and financial record-keeping duties.
- Consent - non-essential (analytics) cookies, which you can withdraw at any time.
4. Who we share it with
- Hosting and email providers - to run the site and reply to you.
- The directors or freeholder of your building - where an issue report concerns a building we manage, to the extent needed to resolve it.
- Specialist contractors - only where a reported issue needs specialist regulated work, and only the details needed to attend.
- Regulators, insurers or law enforcement - only where we're legally required to.
We keep your personal data private and use it solely for the purposes described in this policy.
5. How long we keep it
| Data | Retention |
|---|---|
| Quote requests | Up to 24 months after our last contact, then deleted (or kept as client records once we're appointed) |
| Resident issue reports | For as long as we manage the building, plus 6 years, because repair history forms part of the building's records |
| Financial records | 6 years, as required by UK law |
| Analytics cookie consent | Up to 6 months, then you're asked again |
6. Your rights
Under UK GDPR you have the right to:
